Printing

Tips, suggestions, and rules for making our printing lives better…

·         Anytime you print, make sure you know where you are printing.

o        It is best if you always print by going through the print window.  To do this, go to “File” and select “Print”.  In the cell at the top of the print window, the printer that will be used to print the job will be displayed.  You can change this by clicking on the down arrow and select a new printer.

·         Do not use the print shortcut!!!

o        The shortcut is often found in tool bar of most programs.  You may want to remove it by customizing your toolbar.

·         Color prints are more expensive than black & white prints

o        If you can print in black and white, you are saving money.

·         If your print job doesn’t seem to happen do not send the same print job again!!!

o        Check to make sure you sent the print job to the correct printer

o        Check to make sure the printer is on-line (the printer may require you to add paper or to wait till someone can remove any jammed papers)

·         About the Toner Low - Warning

o        Most of our color laser printers warn us that the toner is getting low for about two weeks. The print quality will very slowly diminish.  You need to know that we will not replace toner until it is completely out.

o        If you get the “Toner Low Warning” and the printer is kicked off line, press (don’t kick) the “go” button to bring the printer back on line.

·         Do not use school printers to print transparencies!

Want to save more paper?

·         Consider printing 2 or more pages on a single sheet of paper.  Some printers, particularly the new laser printers allow you to print multiple pages per sheet.  Some printers even allow you to print on both sides.  Here’s how…

After you selected “print” from the file menu, check the printer you want to use.  To the right of the printer name is a box titled “properties” that you want to click. (see images) This will open a window with a variety of options.  For every printer this “properties window” is slightly different, so read through your options carefully.  Things to look for:  “Pages per Sheet” and “Print on Both Sides”.  These options do not exist for all printers but it is worth a look. (see image below)

·         You should not feed used paper through a printer.  The ink from a previous print job can damage the drums of the printer.  This is a very expensive fix.
